Four outlets, one source of truth.

A growing grocery chain moved from manual tracking to a live operations dashboard, with automated customer communication running alongside it.

Overview

Rapid expansion outran the spreadsheets

Four outlets and a warehouse, growing fast, with daily operations tracked by hand. Scattered data and manual reporting meant the owners were always looking at last week rather than today, and customer communication happened only when somebody remembered.

Challenge

Rapid expansion made it difficult to track daily operations and customer interactions. Scattered data and manual reporting reduced both efficiency and accuracy.

Objectives

One consolidated live view of operations. Reporting that assembles itself. Consistent, timely customer engagement without adding headcount.

Discovery

We mapped where every number actually came from first: point of sale, outlet records and warehouse counts, then designed one pipeline rather than four reports.

The solution

One dashboard, and a customer engine beside it

Part 1

Live operations dashboard

Sales, best sellers, transactions and revenue by outlet, consolidated and current.

4outlets
Part 2

Store level filtering

Any outlet, any month, in two clicks, so questions get answered in the meeting.

Part 3

Automated WhatsApp journeys

Pre set message journeys for customer engagement, running without manual effort.

Part 4

Reporting that assembles itself

Month end numbers produced by the system rather than by a person.

Business outcome

Manual workload down, visibility up

Reduced manual workload and improved reporting accuracy. Operational visibility across teams instead of inside one person's spreadsheet. And customer engagement that stays consistent because it no longer depends on anyone remembering.

What we carry forward: Retail owners do not want more dashboards, they want fewer questions. Build the one view that answers what gets asked every morning and the rest can wait.
